We are seeking a reliable, organized, and proactive Secretary / Administrative Assistant to manage day-to-day administrative operations. The ideal candidate will handle paperwork, manage calls and correspondence, maintain records, and provide overall administrative support to ensure smooth office functioning.

Key Responsibilities

Administrative & Paperwork

  • Prepare, organize, file, and maintain physical and electronic documents
  • Draft letters, emails, reports, invoices, and official documents
  • Maintain accurate records, databases, and filing systems
  • Assist with data entry and document formatting

Communication & Call Handling

  • Answer incoming calls professionally and route them appropriately
  • Take clear and accurate messages and ensure timely follow-ups
  • Manage emails, correspondence, and internal communication
  • Act as the first point of contact for clients, visitors, and stakeholders

Office & Scheduling Support

  • Manage calendars, appointments, and meeting schedules
  • Coordinate meetings, prepare agendas, and take meeting minutes
  • Handle incoming and outgoing mail and courier services
  • Order office supplies and maintain office inventory

Coordination & Support

  • Liaise with staff, management, and external parties as needed
  • Support management with administrative and clerical tasks
  • Assist in preparing presentations, forms, and reports
  • Ensure confidentiality of all company and client information

Required Skills & Qualifications

  • Proven experience as a Secretary or Administrative Assistant (preferred)
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Proficiency in MS Office (Word, Excel, Outlook) or similar tools
  • Ability to multitask and work independently
  • Professional attitude with attention to detail
  • Must have own valid UAE visa or spouse-sponsored visa
