Sales Team Administrative Assistant (Office Position)Job Summary

We are seeking a dynamic and organized Sales Team Administrative Assistant to join our office team. This role is pivotal in supporting the sales department by managing administrative tasks, coordinating schedules, maintaining accurate records, and ensuring smooth daily operations.

The ideal candidate will be energetic, detail-oriented, and possess strong organizational and communication skills to support efficient office workflows and excellent customer service. Responsibilities

  • Responsible for all organizational and administrative support for the sales team
  • Maintain and organize all account records, including filing and updating customer information
  • Ensure all account information is accurate and up to date
  • Manage multi-line phone systems, answer inquiries, and route calls professionally
  • Support calendar management for sales team members, including scheduling meetings and follow-ups
  • Assist with data entry, proofreading documents, and updating client information using QuickBooks and office software
  • Maintain organized filing systems including digital records using Microsoft Office and Google Workspace
  • Handle clerical tasks such as filing, photocopying, and preparing correspondence
  • Provide excellent customer service by responding promptly to phone and email inquiries
  • Assist with general office administrative duties to support daily operations
  • Demonstrate a positive attitude, willingness to learn, and strong problem-solving skills
  • Maintain a high level of accuracy and attention to detail in all tasks

Skills & Qualifications

  • Strong organizational and administrative skills
  • Attention to detail and ability to work accurately under pressure
  • Experience with Microsoft Office (Excel, Word, PowerPoint)
  • Proficiency in Microsoft Office Suite and Google Workspace tools
  • Ability to work independently and as part of a team
  • Ability to take direction and problem solve to get the job done
  • Ability, curiosity, and willingness to learn new tasks
  • Strong time management skills and ability to prioritize tasks effectively
  • Excellent written and verbal communication skills
  • Experience with office management procedures including filing, data entry, and record keeping
  • Familiarity with office equipment such as multi-line phones, printers, and scanners
  • Knowledge of clerical practices including proofreading and document formatting
  • Ability to handle sensitive information with discretion and strong attention to detail
  • Previous administrative experience (office assistant, receptionist, administrative assistant, office clerk, etc.) is a plus
  • Experience with QuickBooks is a plus
  • Bilingual or multilingual skills (Korean, Japanese, or other languages) are preferred

Probationary Period
