Sales & Events Coordinator
Onsite in Richardson, TX
About the Role
We are seeking a highly organized, detail-driven Sales & Events Coordinator who thrives in a fast-paced, multitasking environment.
This role is responsible for everything that happens after a group or meeting contract is signed, ensuring seamless execution from handoff to arrival.
This is not a passive administrative role—this position is the driver of group logistics, communication, and execution, working closely with clients and hotel teams to ensure every detail is handled accurately and on time.
Key Responsibilities: Group & Meeting Execution
- Take full ownership of all groups and meetings once contracts are signed
- Enter and manage group blocks, rates, and details in the PMS system
- Monitor cut-off dates, pickup, and changes proactively
- Ensure all group information is accurate and up to date at all times
Client Communication & Planning
- Serve as the main point of contact for clients after booking
- Communicate directly with clients to gather all meeting and event requirements
- Guide clients through planning details (setups, timing, logistics, etc.)
- Respond promptly and professionally to all inquiries
BEOs & Group Resumes
- Create detailed Group Resumes and Banquet Event Orders (BEOs)
- Ensure all information is accurate, clear, and distributed on time
- Update documents as changes occur and double-check all details
- Ensure operations teams are fully prepared for each group
Internal Coordination
- Act as liaison between Sales, Front Desk, Housekeeping, and Operations
- Communicate all group needs clearly across departments
- Assist with or lead pre-con meetings when needed
