JOB SUMMARY: The receptionist serves as the first point of contact for the Pastoral Center in San Juan, providing a warm, welcoming, and professional presence to Diocesan staff, clergy, parish staff, visitors, and the community. This position is responsible for greeting and assisting guests, answering, and directing calls, managing front desk activities, and supporting office functions with courtesy, confidentiality, and pastoral sensitivity. The Receptionist helps ensure a hospitable environment and supports the Diocese’s mission by offering compassionate service, accurate information, and dependable administrative support in a respectful, faith-centered setting.
Essential Duties and Responsibilities include the following
- Answer, screen, and route all incoming calls, take accurate messages, and ensure timely response to all calls and voicemails.
- Greet visitors courteously and direct them to the appropriate personnel or office.
- Maintain and manage the visitor log.
- Ensure the lobby and reception areas are neat, welcoming, and presentable daily.
- Receive, sort, and distribute all mail and deliveries.
- Coordinate the transfer of interdepartmental mail between the Brownsville and San Juan offices, logging all correspondence sent and received, and ensuring designated mail bags are available.
- Maintain current interdepartmental phone lists and extensions and distribute updates monthly.
- Stay informed of diocesan activities and respond appropriately to general information requests.
- Conduct regular spot checks to ensure the workroom is maintained, including replenishing copier paper, replacing printer toners and staples, and refilling the laminating and postage machines as needed.
