Big Island Housing Foundation is a private, non-profit housing organization located in Hilo, Hawaii. We specialize in providing housing for low to moderate-income residents. BIHF currently manages 14 housing sites island wide.

This current job vacancy is for immediate hire as a full-time, permanent employee. Experience is preferred.

Schedule: Monday through Friday, 8:30 am – 5:00 pm.

Position Description: The Receptionist is responsible for assisting clients as well as providing clerical assistance to the Certified Occupancy Specialist/Tax Credit Specialists. The ideal candidate will be able to provide excellent customer service while managing administrative tasks.

Note: This position is a front-line non-supervisory administrative position and time will be allocated to each project and activity

Duties

· Greet clients upon arrival and answer questions or direct to the appropriate staff member

· Answer phone calls and respond to inquiries regarding services, the application process, etc.

· Review all incoming applications to ensure completeness, process completed applications and add them to the waiting list(s)

· Run criminal background checks for applicants and provide the results to the appropriate Certified Occupancy Specialist

· Draft and send processing letters to applicants at the top of the waiting list(s)

· Draft and send out verification forms

· Organize, log, and distribute incoming mail

· Assist with annual file/site reviews and audits if requested

· Support the staff with various administrative tasks and projects

Required Skills and Qualifications

Applicants must be seeking long-term employment, be currently on-island, and be available to interview and start work immediately. The following are required skills and qualifications for the position:

· An Associates Degree or 3 years of progressively responsible employment which demonstrates a strong knowledge of office and administrative procedures.

· A clean criminal history that is deemed mostly acceptable to the employer.

· A current valid Hawaii State Driver’s License, with driving record deemed mostly acceptable to the employer.

· Flexibility to travel to project sites island-wide.

· Flexibility to travel to project sites to assist with annual unit inspections.

· Reliable transportation with current registration, inspection, and insurance documents.

· Working knowledge of standard office practices such as answering telephone calls, typing, filing, and working with clients in-person.

· Working knowledge of basic computer skills, word processing, spreadsheet software, and email.

· Ability to give and follow oral and written instructions.

· Ability to perform the duties of the position with minimum direction and supervision through their own initiative.

· Ability to organize work effectively and to follow-up to complete work in a timely manner.

· Ability to accurately interpret the rules and regulations of the housing program to determine eligibility.

· Ability to organize and maintain accurate and detailed records.

· Ability to maintain confidentiality.
