Overview
We are seeking a professional and friendly Front Desk Receptionist to be the welcoming face of our real estate law firm. This important role is responsible for managing front desk operations, providing exceptional customer service to clients, and supporting our legal team to ensure smooth daily office operations. The ideal candidate is organized, detail-oriented, and possesses excellent communication skills to create a positive first impression for buyers, sellers, real estate agents, lenders, and visitors.

Responsibilities

  • Greet clients, real estate agents, lenders, and visitors in a professional and welcoming manner
  • Answer and manage a multi-line phone system, directing calls to the appropriate team members
  • Schedule and confirm appointments for real estate closings and consultations
  • Assist with preparing and organizing real estate closing files and legal documents
  • Perform data entry, filing, and document management to maintain accurate transaction records
  • Receive and distribute incoming mail, packages, and deliveries
  • Maintain the front desk and reception area in a clean, organized, and professional manner
  • Assist attorneys and staff with administrative and clerical tasks as needed
  • Respond to general client inquiries and provide excellent customer service
  • Support office operations including supply management and general office coordination

Skills & Qualifications

  • Previous experience in a receptionist, administrative, or customer service role preferred
  • Strong computer skills including proficiency with Microsoft Office (Word, Excel, Outlook) and email systems
  • Excellent phone etiquette with experience handling multi-line phone systems
  • Strong organizational skills with attention to detail and accuracy
  • Ability to multitask and prioritize responsibilities in a fast-paced office environment
  • Professional demeanor with strong interpersonal and communication skills
  • Experience in a real estate, title, or legal office is a plus
  • Bilingual abilities are a plus but not required
