We are seeking a detail-oriented and proactive Project Coordinator – Interior Fit-Out to support our project team by ensuring accurate estimations, smooth coordination, and timely execution across all project stages.

Key Responsibilities:

  • Analyze project drawings, specifications, and related documents to prepare comprehensive cost estimates.
  • Coordinate with project management, suppliers, and subcontractors to gather accurate pricing and material details.
  • Coordinate and manage subcontractors to ensure timely execution of assigned tasks according to project specifications.
  • Monitor subcontractor performance, verify work progress, and ensure compliance with quality and safety standards.
  • Resolve any issues or delays related to subcontractor activities in coordination with the site team.
  • Prepare and submit detailed, itemized estimates for client review and approval.
  • Review and update cost estimates as project designs evolve.
  • Maintain continuous communication with sales, documentation, design, operations, and finance teams to ensure timely submissions and approvals.
  • Ensure project material samples are submitted by the inside sales team within the required timeframe.
  • Prepare a Project Coordination Matrix and collaborate with engineers to schedule site activities.
  • Oversee and align work schedules across all project sites according to approved timelines.
  • Obtain work schedule approvals from the Director and communicate finalized timelines to project engineers for strict adherence.
  • Ensure all required project approvals (authority, client, design, material, and site-related approvals) are obtained on time.
  • Assist in monitoring project progress, identifying delays, and coordinating corrective actions.
  • Maintain updated project documentation, logs, and reports for internal and client use.
  • Support procurement activities by following up on material delivery timelines and coordinating with suppliers.
  • Communicate project updates to clients and internal teams to ensure transparency and alignment.
  • Ensure compliance with company standards, quality requirements, and HSE guidelines on all sites.

Qualifications:

  • Minimum 2 years of experience in interior fit-out project coordination within the UAE.
  • Strong understanding of project planning, scheduling, and estimation processes.
  • Knowledge of project-related authority and internal approval procedures.
  • Excellent communication, organizational, and multitasking skills.
  • Proficient in MS Office (Excel, Word, Outlook) and project scheduling software.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail with strong problem-solving skills.
  • Ability to handle multiple projects simultaneously with professionalism.
