Description of Duties
- Serves as a primary point of contact within the Dean’s Office for program-related inquiries by greeting visitors and communicating with students, faculty, staff, and external stakeholders to provide, explain, and disseminate program information and materials.
- Assists with planning, coordinating, and the implementation of graduate and academic program initiatives within the Dean’s Office.
- Assists in coordinating Dean’s Office academic and special events, including lectures, workshops, meetings, short courses, and related activities.
- Compiles, sorts, and organizes program data for database entry and reporting purposes; maintains accurate records and may assist with processing and tracking grade requests submitted by departments within the College.
- Assists in preparing program status reports, proposals, budget summaries, accreditation-related materials, and other documentation as required to support Dean’s Office operations.
- Supports financial processes within the Dean’s Office by tracking expenditures, maintaining records, coordinating vendor payments, and assisting with account reconciliations in accordance with university guidelines.
- Provides administrative support to the Associate Dean of Graduate Programs and Accreditation by preparing and maintaining graduate program documentation, managing correspondence, and facilitating communication across college offices.
- Coordinates travel arrangements for Dean’s Office personnel, faculty, and guest speakers related to program activities and events.
- Processes personnel actions as directed by the supervisor, including providing administrative and tracking support for the hiring of Graduate Assistants (GAs) and Graduate Teaching Assistants (GTAs) supporting graduate programs.
- Assists with program-specific training initiatives in coordination with the Program Manager.
- Drafts and prepares correspondence, forms, reports, and informational materials for distribution from the Dean’s Office.
- Coordinates operational support functions within the Dean’s Office, including ordering supplies, distributing mail, and submitting equipment repair requests.
- Initiates and maintains positive working relationships with internal and external stakeholders to support the mission and goals of RCVCOBE.
- Performs other duties as assigned.
