Duties

  • Manage complex calendars and schedule appointments using Microsoft Outlook Calendar and Google Workspace, ensuring optimal time management for executives
  • Coordinate meetings, conferences, and events including venue booking, catering arrangements, and logistics planning
  • Handle all correspondence via email, phone calls, and written communication with professionalism and courtesy, demonstrating excellent phone etiquette
  • Prepare and proofread documents, reports, presentations, and transcriptions with accuracy and attention to detail
  • Maintain organized filing systems—both digital and physical—and ensure timely data entry using QuickBooks and other office management tools
  • Assist with bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping
  • Support project coordination efforts by tracking deadlines, preparing agendas, taking minutes, and following up on action items
  • Oversee office management duties including supply inventory, front desk operations, filing systems, and managing multi-line phone systems
  • Utilize office software like Microsoft Office Suite (Word, Excel), Google Workspace apps (Docs, Sheets), and DocuSign for document signing processes
  • Provide executive administrative support by managing travel arrangements, transcription services, proofreading documents, and handling confidential information
