About the Role:
The Maintenance Coordinator plays a vital role in ensuring the smooth execution of all maintenance activities, acting as a liaison between internal teams, customer support, and external service providers. This position requires daily scheduling coordination, project tracking, and operational and administrative support to ensure high-quality service delivery. A strong technical background is essential for preparing accurate quotations, estimating job durations, and scheduling in-house project teams efficiently.
Responsibilities:
- Coordinate the distribution of access keys for technicians to ensure timely maintenance visits.
- Review and adjust daily maintenance schedules, prioritizing emergency tasks and follow-ups based on feedback from customer support.
- Monitor and respond to incoming requests from customer support, landlord support, and third-party contractors to ensure timely completion of tasks.
- Actively monitor escalation channels and promptly involve the Maintenance Manager when higher-level intervention is needed.
- Provide clear and concise handover notes for continuity between shifts.
- Maintain and update internal trackers and records for ongoing projects, preventive maintenance schedules, and quotations.
- Update the team roster daily based on operational requirements and technician availability.
- Record material usage from technicians and update the inventory system for accurate financial tracking.
- Coordinate scheduling of project teams for approved works and arrange inspection visits for the project supervisor.
- Prepare project quotations based on inspection reports from the maintenance supervisor or inspector.
Requirements:
- Technical background in MEP (Mechanical, Electrical, Plumbing) or a relevant field is essential.
- Proven experience in a maintenance coordination or facilities management role.
- Strong technical skills to prepare accurate quotations based on inspection reports, material requirements, and labour estimates.
- Ability to read and interpret inspection reports and create actionable, time-bound project plans.
- Knowledge of MEP systems and standard maintenance procedures.
- Proficiency in using maintenance management software, spreadsheets, and inventory tracking tools.
- Excellent organizational and multitasking abilities to manage shifting priorities.
- Strong communication and interpersonal skills to coordinate between internal departments and contractors.
- High attention to detail with strong reporting and documentation discipline.
- Should be on own visa.
- Possession of a valid UAE driving license is a plus but not mandatory.
Job Type: Full-time
Pay: AED3,000.00 – AED3,500.00 per month
