We’re looking for a reliable Front Office Associate to join our team and support the day-to-day running of our office. This role is ideal for someone who enjoys working with people, staying organised, and helping keep an office environment running smoothly.

As the first point of contact for visitors, clients, and incoming calls, you’ll play an important role in creating a professional and welcoming experience while also supporting the team with general administrative tasks.

Hours: Monday – Friday, 8:30am – 5:00pm
Location: On-site office role
Start: Immediate start available

Your role will combine reception duties with general office support. Typical responsibilities include:

Front Desk & Visitor Management

  • Greeting visitors and clients when they arrive and signing them in
  • Notifying team members when their meetings or guests arrive
  • Managing the reception area so it stays tidy and presentable throughout the day
  • Offering basic assistance to visitors such as directing them to meeting rooms or facilities

Phones & Communications

  • Answering incoming calls and transferring them to the correct department
  • Taking clear messages when team members are unavailable
  • Responding to general email enquiries or forwarding them appropriately

Scheduling & Coordination

  • Booking meeting rooms and updating shared office calendars
  • Scheduling client appointments and internal meetings
  • Sending meeting confirmations and reminders when required

Administrative Support

  • Preparing basic documents such as meeting notes, forms, or reports
  • Data entry and updating client information in internal systems
  • Filing and organising documents (both digital and physical)

Office Organisation

  • Keeping reception and waiting areas clean and professional
  • Helping monitor office supplies and ordering replacements when stock runs low
  • Assisting with simple tasks such as preparing meeting rooms before client visits
