Job Summary
We are seeking a professional and organized Front Desk Staff member to serve as the first point of contact for our office. The ideal candidate will possess excellent customer service skills, strong organizational abilities, and proficiency with office management tools. This role involves managing multi-line phone systems, handling administrative tasks, and supporting daily office operations to ensure a smooth and welcoming environment for clients and staff alike.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar bookings using Office management software
- Perform data entry, filing, and maintain accurate records using Microsoft Office and Google Workspace
- Handle incoming and outgoing correspondence, including emails and mail distribution
- Assist with administrative support tasks such as proofreading documents, managing office supplies, and organizing files
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide exceptional customer service by addressing inquiries promptly and professionally
- Maintain a clean and organized front desk area to promote a welcoming environment
- Support other administrative duties as needed to ensure efficient office operations
Requirements
- Proven experience in office management, clerical work, or administrative support roles
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Bilingual skills are highly desirable to assist diverse clients effectively
- Familiarity with QuickBooks or bookkeeping experience is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills with attention to detail for proofreading and document accuracy
- Previous experience in customer service or as a receptionist in medical or dental offices is advantageous
- Ability to handle confidential information discreetly and professionally
- Demonstrated time management skills to balance multiple responsibilities efficiently
