Duties
Greet visitors, clients, and vendors with a warm, professional demeanor, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and providing accurate information or transferring inquiries as needed
Maintain front desk appearance, including filing, organizing documents, and managing incoming and outgoing mail
Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
Handle data entry tasks such as updating records in QuickBooks or other office management software with accuracy and attention to detail
Support office management activities by proofreading documents, maintaining filing systems, and assisting with clerical tasks such as typing and proofreading correspondence
Provide customer support by addressing inquiries via phone or email, ensuring excellent service and timely responses
Requirements
Proven office experience with strong organizational skills and attention to detail
Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, and data entry skills
Experience with multi-line phone systems and phone etiquette to handle high call volumes professionally
Bilingual abilities are highly preferred to serve diverse client needs effectively
Prior clerical or administrative experience in a medical or dental receptionist role is advantageous
Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial tasks
Excellent time management skills with the ability to prioritize tasks efficiently
Strong communication skills with a friendly demeanor; ability to proofread documents accurately
Familiarity with office management practices such as filing systems, calendar management, and customer support processes
