Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities
- Greet visitors warmly, assist with check-in procedures, and direct them appropriately
- Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
- Handle incoming calls, answer inquiries, and transfer calls efficiently using office phone protocols
- Maintain organized files, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment scheduling, and event coordination
- Perform clerical duties including filing, photocopying, scanning, and mail distribution
- Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office software to support daily operations
- Assist with bookkeeping tasks using QuickBooks or similar accounting tools when needed
- Provide customer support by addressing inquiries promptly and professionally
- Support administrative functions such as proofing documents, managing office supplies, and maintaining a tidy reception area
Experience
- Proven experience in office management or administrative support roles with a focus on front desk responsibilities
- Prior clerical experience including data entry, filing, and document proofreading
- Strong customer service background with excellent communication skills in both bilingual settings (if applicable)
- Familiarity with multi-line phone systems and professional phone etiquette
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and general computer literacy
- Experience working in medical or dental reception is a plus but not required; relevant personal assistant experience is also valued
- Ability to manage time effectively while handling multiple tasks in a fast-paced environment
- Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous
