Job Summary

We are looking for a friendly and professional Bilingual Receptionist to be the first point of contact for our company. This role is responsible for managing front desk activities, greeting visitors, and handling incoming calls, while also assisting with basic coordination of bid-related tasks. The ideal candidate is organized, dependable, and comfortable communicating with a variety of people in both English and Spanish. No prior construction or bidding experience is required—this portion of the role is straightforward and fully trainable.

Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person or department
  • Answer, screen, and route incoming phone calls
  • Maintain a clean, organized, and presentable reception area
  • Provide accurate information in person, over the phone, and via email (English/Spanish)
  • Receive, sort, and distribute mail and deliveries
  • Maintain office security by following procedures and monitoring visitor access
  • Perform filing and general clerical support as needed
  • Assist with coordinating bid invitations, including sending invites and tracking responses
  • Maintain and update the bid calendar and database
  • Follow up with subcontractors and vendors via phone and email regarding bid opportunities
  • Help organize and prepare bid handoff information for internal teams

Qualifications

  • Bilingual in English and Spanish required
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Experience with standard office equipment (printers, copiers, etc.)
  • Professional appearance and positive attitude
  • Strong communication and customer service skills
  • Highly organized with the ability to multitask and prioritize
  • Dependable and proactive with a willingness to help where needed
  • High school diploma required; additional administrative experience is a plus
