Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with attention to detail
- Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
- Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
- Assist with clerical duties including photocopying, scanning, filing, and updating records in Google Workspace and Microsoft Office applications
- Provide exceptional customer support by addressing inquiries efficiently and maintaining a positive attitude at all times
Qualifications
- Proven office or administrative experience with strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience with multi-line phone systems and excellent phone etiquette skills
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Knowledge of office management practices such as calendar management, data entry, filing, proofreading, and time management techniques
- Previous experience as a dental or medical receptionist is a plus; personal assistant experience is also valued
- Strong typing skills with accuracy and speed; familiarity with clerical tasks like bookkeeping using QuickBooks is advantageous
