Overview
We are seeking a professional and personable Front Desk Receptionist to serve as the first point of contact for our organization. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. Duties

  • Greet visitors and clients warmly, ensuring a positive first impression of the organization.
  • Manage multi-line phone systems efficiently, directing calls to appropriate personnel with professionalism and courtesy.
  • Handle appointment scheduling and calendar management using digital tools such as Google Workspace or Microsoft Office.
  • Perform data entry, filing, and document proofreading to support administrative workflows.
  • Maintain office supplies inventory and coordinate with vendors for procurement needs.
  • Support office management tasks including mail distribution, photocopying, and basic bookkeeping using QuickBooks or similar software.
  • Provide customer support by addressing inquiries promptly and courteously, both in person and via phone or email.
  • Assist with clerical tasks such as typing correspondence, managing files, and updating records to ensure organizational efficiency.
  • Demonstrate excellent phone etiquette and organizational skills to handle multiple responsibilities effectively in a fast-paced environment.

Experience

  • Prior experience working in an office setting with strong clerical and administrative responsibilities.
  • Proven proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Experience utilizing multi-line phone systems and managing front desk operations in a professional environment.
  • Bilingual abilities are highly desirable to serve diverse client populations effectively.
  • Knowledge of office management procedures, including filing systems, data entry, and calendar management.
  • Previous roles as a medical or dental receptionist or personal assistant are advantageous due to similar customer service demands.
