Duties

  • Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with clarity and efficiency
  • Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and organizing office supplies
  • Assist with clerical duties including typing reports, organizing files, and supporting administrative projects as needed

Qualifications

  • Proven office or administrative experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Familiarity with office management software such as QuickBooks or similar bookkeeping tools is preferred
  • Strong computer literacy with the ability to perform data entry, proofreading, and document formatting accurately
  • Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Previous experience as a medical or dental receptionist or personal assistant is a plus but not required
