Job Summary

Responsibilities
- Greet visitors warmly, verify appointments, and direct them appropriately within the office
- Manage multi-line phone systems, screen calls, take messages, and transfer calls with professionalism and courtesy
- Handle incoming correspondence, emails, and inquiries promptly and accurately
- Maintain appointment calendars
- Perform data entry tasks including filing, updating records, and maintaining databases with precision
- Support office management activities such as ordering supplies, organizing files, and proofreading documents for accuracy
- Provide excellent customer service by addressing inquiries efficiently and supporting client needs
- Manage clerical tasks such as photocopying, scanning, faxing, and maintaining organized filing systems
- Uphold phone etiquette standards ensuring clear communication and professional interactions at all times
Experience
- Prior office experience or administrative support roles demonstrating strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with multi-line phone systems and customer support environments
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Familiarity with office management procedures including filing, data entry, calendar management, and proofreading
- Personal assistant or medical receptionist experience can provide valuable skills for this role
- Demonstrated ability to handle clerical tasks efficiently while maintaining attention to detail and professionalism
