QuickBooks Online & Accounting Support Duties:

We are seeking a friendly, organized, and detail-oriented Front Desk Receptionist to serve as the first point of contact for our company while also providing essential administrative and basic accounting support using QuickBooks Online. This role combines excellent customer service with light bookkeeping tasks to keep our office running smoothly. The ideal candidate is professional, multitasking-capable, and comfortable handling both people-facing duties and accurate financial data entry.

Key Responsibilities

Front Desk & Administrative Duties:

  • Greet and welcome visitors, clients, and vendors in a warm and professional manner.
  • Answer, screen, and forward incoming phone calls; take accurate messages and distribute them promptly.
  • Manage the reception area, ensuring it remains tidy, presentable, and well-stocked (e.g., magazines, refreshments).
  • Schedule appointments, meetings, and conference room bookings; maintain shared calendars.
  • Handle incoming and outgoing mail, packages, and courier deliveries.
  • Provide general administrative support, including filing, photocopying, scanning, data entry, and ordering office supplies.
  • Assist with customer service inquiries and direct visitors to the appropriate team member.

QuickBooks Online & Accounting Support Duties:

  • Perform basic data entry in QuickBooks Online, including entering invoices, bills, payments, and expenses.
  • Process customer payments (cash, check, credit card), issue receipts, and apply payments to accounts.
  • Prepare and send simple customer invoices and statements as directed.
  • Assist with monthly bank and credit card reconciliations under supervision.
  • Track and code expenses; maintain accurate records for accounts payable/receivable.
  • Generate basic reports (e.g., open invoices, expense summaries) from QuickBooks Online when requested.
  • Support the accounting team with filing financial documents and other tasks.

Qualifications & Skills

  • Education: High school diploma or equivalent required; an Associate’s degree in accounting, business, or a related field is a plus.
  • Experience: Proven work experience as a receptionist, administrative assistant, or in a similar role.
  • Technical Skills: Proficiency in Google workspace and hands-on experience with standard office equipment (printers, scanners, fax machines). Familiarity with accounting software (e.g., QuickBooks) is a strong asset.
  • Soft Skills:
