Duties
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently and accurately
- Handle front desk responsibilities including check-ins, appointment scheduling, and visitor sign-in procedures
- Maintain organized filing systems, data entry records, and ensure accurate document proofreading
- Support office management tasks such as calendar management, appointment setting, and basic bookkeeping using QuickBooks or similar tools
- Assist with clerical duties like photocopying, faxing, mailing, and maintaining office supplies
- Provide exceptional customer support by addressing inquiries via phone or email with professionalism and clarity
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Prior experience with front desk operations or medical/dental receptionist duties is highly desirable
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Bilingual abilities are a plus to serve diverse client needs more effectively
- Demonstrated customer service excellence with polite communication and professional phone etiquette
- Ability to perform data entry accurately while maintaining attention to detail and proofreading skills
- Familiarity with office equipment such as multi-line phones, printers, and fax machines
- Personal assistant or calendar management experience is advantageous for supporting team schedules
