Job Summary

Responsibilities

  • Greet visitors, clients, and staff with enthusiasm and professionalism, ensuring a warm and welcoming atmosphere
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel
  • Manage appointment scheduling and calendar coordination using tools like Google Workspace or Microsoft Office
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar software
  • Provide customer support by addressing inquiries, resolving issues, and delivering excellent service via phone or in person
  • Assist with clerical duties including typing correspondence, managing emails, and maintaining office equipment
  • MUST be available to work 2 Over nights per week from 10p-7a

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Prior clerical or administrative experience in a customer service-oriented environment preferred
  • Familiarity with office management tasks such as filing, data entry, proofing documents, and calendar management
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Personal assistant or medical/dental receptionist experience is a plus but not required
  • Knowledge of bookkeeping software like QuickBooks is advantageous
