Responsibilities
- Greet visitors and clients with a warm, professional demeanor, ensuring they feel welcomed and valued
- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle all front desk duties including scheduling appointments, managing calendars, and coordinating meetings
- Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Assist with clerical tasks such as proofreading documents, organizing files, and supporting administrative projects
- Support office management by overseeing supplies inventory, maintaining cleanliness, and ensuring a well-organized reception area
- Provide exceptional customer service by addressing inquiries promptly and professionally in person or via phone or email
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to serve diverse client needs
- Previous office experience or clerical experience is preferred to ensure familiarity with administrative procedures
- Knowledge of multi-line phone systems and phone etiquette to handle calls smoothly
- Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks
- Strong attention to detail for proofreading documents and data entry accuracy
- Exceptional customer service skills combined with friendly communication style
- Ability to perform typing quickly and accurately while maintaining focus on quality work
- Personal assistant or medical/dental receptionist experience is advantageous for understanding specialized office environments
