Job Description: Finance, HR & Operations Executive

Position Summary

The Finance, HR & Operations Executive will be responsible for supporting the day-to-day Finance, Accounting, VAT, Audit, Human Resources, and Operational activities across multiple business units. The ideal candidate should possess excellent communication skills, strong organizational abilities, and a disciplined approach to execution while maintaining the highest level of professionalism and confidentiality.

Key ResponsibilitiesFinance & Accounting

  • Manage day-to-day accounting activities, including Accounts Payable and Accounts Receivable.
  • Process invoices, payments, bank reconciliations, and journal entries.
  • Assist in month-end and year-end financial closing activities.
  • Prepare management reports, financial statements, and account reconciliations.
  • Monitor cash flow, expenses, and budget utilization.
  • Ensure compliance with company policies, accounting standards, and internal financial controls.

VAT, Audit & Compliance

  • Prepare and submit UAE VAT returns accurately and within statutory deadlines.
  • Maintain VAT documentation and ensure compliance with UAE tax regulations.
  • Coordinate with external auditors and provide required schedules, reconciliations, and supporting documents.
  • Support internal audits and ensure adherence to statutory and regulatory requirements.
  • Monitor compliance across different operational units and recommend process improvements where necessary.

Human Resources

  • Coordinate recruitment activities, including job postings, resume screening, interview scheduling, and onboarding.
  • Maintain employee records, contracts, visa documentation, and HR files.
  • Assist with payroll processing, attendance, leave management, and employee benefits.
  • Support employee engagement, performance management, training, and development initiatives.
  • Ensure compliance with UAE Labour Law and company HR policies.

Operations & Administration

  • Coordinate operational activities across multiple offices and countries to ensure smooth business operations.
  • Monitor operational processes and recommend improvements to enhance efficiency and productivity.
  • Liaise with internal departments and external stakeholders to ensure timely execution of business activities.
  • Prepare reports, presentations, business correspondence, and management documentation.
  • Support administrative functions, vendor coordination, procurement, and office management.
  • Track key operational deliverables and ensure timely follow-up and completion.

Coordination & Execution

  • Work closely with senior management to implement business initiatives and strategic decisions.
  • Coordinate cross-functional activities across Finance, HR, Sales, Projects, and Operations.
  • Maintain a high level of organization, discipline, and accountability in daily work.
  • Manage multiple priorities effectively while consistently meeting deadlines.
  • Identify operational challenges proactively and recommend practical solutions.

Qualifications

  • Bachelor’s Degree in Commerce (B.Com), Accounting, Finance, Human Resources, Business Administration, or a related field.
  • 2–5 years of relevant experience in Finance, Accounting, HR, Administration, or Business Operations.
  • Sound knowledge of UAE VAT regulations, accounting principles, and HR administration.
  • Experience working with ERP systems (Odoo experience is highly preferred).
  • Proficiency in Microsoft Excel, Word, PowerPoint, and Google Workspace.
