position Overview

We are seeking a compassionate, highly organized Executive Secretary to the President to serve as a key administrative partner and public-facing ambassador in a professional funeral service environment. This role coordinates scheduling, documentation, communications, and day-to-day office operations while supporting families with professionalism, empathy, and discretion.

The Executive Secretary helps ensure seamless service coordination, accurate records, and respectful interactions that shape a family’s experience during meaningful life events.

? Minimum Requirements (Required to Apply)

  • Minimum 3 years experience in an executive assistant, office manager, front-office, or client service role
  • Strong written and verbal communication skills
  • High professionalism, confidentiality, and empathy
  • Excellent organizational skills with attention to detail
  • Proficiency with Microsoft Office and ability to learn industry software
  • Valid driver’s license with ability to complete occasional local errands
  • Reliable ability to report to the Brookfield location as scheduled

Key Responsibilities

Family & Front Office Support

  • Welcome families and visitors with professionalism and care
  • Manage multi-line phone communication and document inquiries accurately
  • Provide general service and logistical information

Scheduling & Coordination

  • Maintain calendars for leadership, staff, clergy, vendors, and facilities
  • Coordinate appointments, documentation, and service logistics

Case Administration & Records

  • Maintain accurate case records in company systems
  • Prepare printed service materials and documentation
  • Ensure administrative compliance with internal procedures
