Description
The Document Controller is responsible for the timely, accurate and efficient preparation and management of hospital documents. S/He is responsible for controlling, numbering, sorting, filing, storing and retrieving of both electronic and hard copy documents of Kanad Hospital.
Essential Job functions and Key Accountabilities:
The Document Controller responsibilities include:
- Control over documentation modification, distribution, and issuance to departments during its whole lifecycle
- Numbering and identification of documents
- Quality and compliance checks on documents
- Filing and organization of documents (both electronic and/or hardcopies)
- Maintaining up to date register of all hospital documents showing document details and revision status
- Distributing documents to the relevant people/stakeholders, departments
- Progress reporting on the document status
- Participate in reviewing the documents, ensuring documents comply with regulations, creating revisions and archiving outdated versions
- Designing templates for policies, forms, guidelines, programs, etc.
- Prepare ad hoc reports on projects as needed
- Performs administrative duties including typing and/or word processing correspondence, reports and memoranda emanating from the department head
- Attend meetings and takes minutes/transcribes notes on proceedings
- Perform other related duties as assigned or requested

- Ability to work independently and be attentive to detail, and maintain and positive attitude
- Ability to manage multiple responsibilities and prioritize scheduling of work
- Ability to maintain confidentiality of all hospital information
- Ability to complete work assignments accurately and in a timely manner
- Ability to communicate effectively, both orally and writing
- Must be proficient in word, excel and Power Point
Qualification
Education – Bachelor’s Degree Required
Any relevant certifications is also preferred
