Job Summary
The Document Controller will be responsible for managing, organizing, tracking, and maintaining all project and company documentation to ensure accuracy, compliance, and efficient document flow between internal teams, clients, consultants, and contractors.
Key Responsibilities
- Manage and maintain all incoming and outgoing project documents, drawings, and correspondence.
- Register, distribute, and archive documents in accordance with company procedures.
- Ensure all documents are properly filed, updated, and easily accessible.
- Track document revisions and maintain version control.
- Coordinate with project managers, engineers, consultants, and clients regarding document submissions.
- Prepare transmittals for drawings, reports, RFIs, and technical documents.
- Maintain electronic and hard-copy filing systems.
- Monitor document deadlines and ensure timely submissions.
- Ensure confidentiality, accuracy, and compliance with company standards.
- Generate periodic reports on document status and outstanding submissions.
- Support project teams with administrative and documentation requirements.
Requirements
- Bachelor’s degree or Diploma in Business Administration, Engineering, or a related field.
- Minimum 2–5 years of experience as a Document Controller, preferably within an engineering consultancy, construction, or architectural environment.
- Strong knowledge of document control procedures and records management.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with document management systems (Aconex, EDMS, SharePoint, Autodesk Construction Cloud, or similar platforms) is an advantage.
- Excellent organizational, communication, and time management skills.
- Ability to work under pressure and manage multiple projects simultaneously.
- Strong attention to detail and accuracy.
