We are looking for an experienced and organized Automotive Spare Parts Officer to support the daily operations of our parts Department. The successful candidate will be responsible for parts identification, purchasing, receiving, inventory control, issuing parts to the workshop and customers, and maintaining accurate parts records.

The ideal candidate should have good knowledge of automotive spare parts, strong attention to detail, and the ability to work efficiently in a fast-paced dealership environment.

Responsibilities

  • Identify automotive spare parts accurately using vehicle specifications, VIN, part numbers, catalogues, and manufacturer systems.
  • Receive and process spare parts requests from the workshop, service advisors and sales department.
  • Prepare parts quotations and provide accurate pricing and availability information.
  • Monitor pending orders and follow up to ensure timely delivery.
  • Receive, inspect, label, and properly store incoming spare parts.
  • Issue parts to technicians and workshop teams against approved job cards or parts requests.
  • Maintain accurate inventory records and ensure correct parts allocation.
  • Conduct regular stock checks and participate in monthly and annual stocktaking.
  • Investigate stock discrepancies, shortages, damaged parts, and incorrect deliveries.
  • Monitor fast-moving, slow-moving, and obsolete parts and report findings to management.
  • Maintain proper organization and cleanliness of the parts storage area.
  • Coordinate with the Service Department to ensure parts availability for scheduled repairs and maintenance.
  • Assist with warranty parts handling, returns, exchanges, and supplier claims when required.
  • Ensure compliance with company procedures, inventory controls, and safety requirements.
  • Prepare daily and monthly reports related to parts sales, purchases, stock movement, and outstanding orders.

Requirements

  • Diploma or bachelor’s degree in automotive, Supply Chain, Business Administration, or a related field is preferred.
  • 2–5 years of experience in automotive spare parts, preferably within an automotive dealership or service center.
  • Good knowledge of automotive parts and vehicle systems.
  • Experience with parts catalogues, VIN-based parts identification, and OEM part numbers.
  • Experience using ERP, DMS, or automotive parts management systems.
  • Good Microsoft Excel and computer skills.
  • Strong communication and customer service skills.
  • Strong attention to detail and inventory accuracy.
