Two Continents Building Maintenance is looking for a reliable, well-organized, and proactive Administration Officer to support daily office functions and maintenance project operations.

Key Responsibilities

Data entry and maintaining accurate maintenance and project-wise records

Project-wise accounting support, including tracking material, labor, and service costs

Sales and purchase tracking for maintenance projects

Maintain and follow up on all quotations (preparation, submission, approval, and revisions)

Prepare and track maintenance invoices, LPOs, delivery notes, and payment follow-ups

Apply for work permits, NOCs, approvals, access passes, and gate passes to start maintenance works

Coordinate with building management, clients, subcontractors, and technicians

Schedule maintenance jobs, site visits, inspections, and technician assignments

Maintain records of AMC contracts, work orders, completion certificates, and snag lists

Track material requests, tools, and consumables for maintenance activities

Assist in preparing maintenance reports, job cards, and completion documents

Filing, document control, and general office administration tasks

Ensure proper documentation for HSE, site safety, and compliance requirements

Requirements

Previous experience in maintenance, facilities management, or construction administration (preferred)

Basic knowledge of accounting, quotations, invoicing, and project cost tracking

Good command of MS Office (Excel, Word, Email)

Ability to handle multiple maintenance jobs simultaneously

Strong organizational and time-management skills

High attention to detail and problem-solving ability

Good communication and coordination skills
