Job Summary
We are a small, dynamic law firm focused on Family Law, Personal Injury, and Civil Litigation. Our work is meaningful and fast-paced, and we take pride in delivering exceptional service to our clients. The Administrative Assistant is the heartbeat of our office—answering phones, greeting clients, handling daily office tasks, and supporting our legal team with professionalism and efficiency. This role requires strong communication skills, attention to detail, and a positive, proactive attitude.

Key Responsibilities:

  • Answer and direct incoming phone calls
  • Greet and welcome clients and visitors
  • Monitor and respond to emails
  • Handle incoming and outgoing mail
  • Maintain the conference room for meetings
  • Support attorneys and paralegals with clerical tasks, scanning, document delivery, etc.
  • Communicate with vendors for maintenance and office needs
  • Manage scheduling and appointments for staff members, demonstrating effective time management skills.
  • Perform clerical duties including data entry, filing, and maintaining organized office records.
  • Assist in office management tasks such as ordering supplies and maintaining inventory levels.

Requirements

  • Proven experience as a personal assistant or in a similar administrative role is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in clerical duties and office management practices.
  • Excellent computer skills, including familiarity with office software applications.
  • Exceptional customer service skills with a focus on building positive relationships.
  • Strong time management abilities to handle multiple responsibilities simultaneously.
  • Effective communication skills, both verbal and written, to interact professionally with clients and team members.
  • A proactive attitude towards problem-solving and task completion.
