Job Overview

Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them appropriately
  • Manage multi-line phone systems with professionalism, practicing excellent phone etiquette
  • Handle incoming calls, answer inquiries, and transfer calls efficiently using office phone protocols
  • Maintain organized files, data entry records, and ensure accurate document proofreading
  • Support office management tasks such as calendar management, appointment scheduling, and event coordination
  • Perform clerical duties including filing, photocopying, scanning, and mail distribution
  • Utilize computer skills across Microsoft Office Suite, Google Workspace, and other office software to support daily operations
  • Assist with bookkeeping tasks using QuickBooks or similar accounting tools when needed
  • Provide customer support by addressing inquiries promptly and professionally
  • Support administrative functions such as proofing documents, managing office supplies, and maintaining a tidy reception area

Experience

  • Proven experience in office management or administrative support roles with a focus on front desk responsibilities
  • Prior clerical experience including data entry, filing, and document proofreading
  • Strong customer service background with excellent communication skills in both bilingual settings (if applicable)
  • Familiarity with multi-line phone systems and professional phone etiquette
  • Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and general computer literacy
  • Experience working in medical or dental reception is a plus but not required; relevant personal assistant experience is also valued
  • Ability to manage time effectively while handling multiple tasks in a fast-paced environment
  • Knowledge of bookkeeping software such as QuickBooks or similar tools is advantageous
