Office Operations Assistant (Entry-Level)

This is an entry-level role with full on-the-job training provided. Key Responsibilities

  • Schedule and confirm appointments for residential service calls
  • Dispatch contractors and technicians while tracking job progress
  • Communicate with contractors to ensure work is completed accurately and with integrity
  • Monitor contractor performance and flag any issues or concerns
  • Prepare and send customer proposals and estimates
  • Coordinate with remote freelancers to ensure timely task completion
  • Follow up with customers and contractors as needed
  • Maintain organized records, documentation, and job files
  • Assist with general office duties including emails, phone calls, and data entry

Qualifications

  • Strong verbal and written communication skills
  • Ability to stay organized and manage multiple tasks in a fast-paced setting
  • Comfortable speaking confidently with contractors and asking direct questions when necessary
  • Basic computer proficiency (email, spreadsheets, CRM or scheduling tools preferred)
  • Reliable, punctual, and eager to learn
  • No prior experience required — training provided
