We are seeking a reliable, organized, and proactive Secretary / Administrative Assistant to manage day-to-day administrative operations. The ideal candidate will handle paperwork, manage calls and correspondence, maintain records, and provide overall administrative support to ensure smooth office functioning.
Key Responsibilities
Administrative & Paperwork
- Prepare, organize, file, and maintain physical and electronic documents
- Draft letters, emails, reports, invoices, and official documents
- Maintain accurate records, databases, and filing systems
- Assist with data entry and document formatting
Communication & Call Handling
- Answer incoming calls professionally and route them appropriately
- Take clear and accurate messages and ensure timely follow-ups
- Manage emails, correspondence, and internal communication
- Act as the first point of contact for clients, visitors, and stakeholders
Office & Scheduling Support
- Manage calendars, appointments, and meeting schedules
- Coordinate meetings, prepare agendas, and take meeting minutes
- Handle incoming and outgoing mail and courier services
- Order office supplies and maintain office inventory
Coordination & Support
- Liaise with staff, management, and external parties as needed
- Support management with administrative and clerical tasks
- Assist in preparing presentations, forms, and reports
- Ensure confidentiality of all company and client information
Required Skills & Qualifications
- Proven experience as a Secretary or Administrative Assistant (preferred)
- Excellent verbal and written communication skills
- Strong organizational and time-management abilities
- Proficiency in MS Office (Word, Excel, Outlook) or similar tools
- Ability to multitask and work independently
- Professional attitude with attention to detail
- Must have own valid UAE visa or spouse-sponsored visa
