Role Overview:
The Service Coordinator is responsible for managing day-to-day service operations and customer coordination for leased vehicles. This role serves as a key point of contact between customers, internal teams, and external service providers to ensure timely service bookings, breakdown handling, vehicle availability, and accurate reporting. The Service Coordinator plays a critical role in maintaining service quality, minimizing vehicle downtime, and supporting smooth fleet operations.
Key Responsibilities:
Daily Responsibilities
- Attend to calls, emails, and WhatsApp communications from lease customers and address service-related inquiries and complaints.
- Create service bookings and follow-up to ensure timely completion.
- Arrange schedules for vehicle breakdowns and replacements.
- Prepare and circulate daily reports for LCI, AGM, and REG.
- Prepare daily vehicle location status reports for CRC, DIP, LRC, and TWA.
- Coordinate with the Traffic team to issue NOCs upon customer request.
- Coordinate with Sales and customers to confirm damage estimations.
- Post charges after confirmation of damage estimations (WFC) and for off-hire vehicles.
- Coordinate with Sales for scheduling vehicle deliveries and collections.
- Arrange mobile services for vehicles due for onsite servicing.
- Arrange recovery services for emergency breakdowns.
- Monitor vehicles that are Out of Service (OOS).
- Coordinate with the Fleet Coordinator to assign replacement fleet as required.
- Monitor total loss and permanent replacement vehicles.
Weekly Responsibilities
- Follow up on vehicle registration renewals and schedule replacement vehicles for passing.
- Follow up on pending service bookings.
- Coordinate with relevant departments regarding OOS vehicles and pending actions.
Monthly Responsibilities
- Review and monitor vehicle permits and ensure compliance as required.
Skills and Qualifications:
- Bachelor’s degree or diploma in Business Administration, Operations, or related field preferred.
- Atleast 2–4 years in car rental, leasing, or fleet operations, with hands-on service coordination experience.
- Vehicle servicing, breakdown recovery, OOS management, damage assessment, and fleet reporting; proficient in Microsoft Office and fleet management systems.
- Strong customer service, communication, coordination, and multitasking skills; detail-oriented and able to work under pressure.
- Knowledge of traffic regulations, registrations, and permits is an advantage; flexible to work extended hours if needed.
