About the Role
We are seeking a highly organized and detail-oriented Civil Document Controller to manage, organize, and maintain engineering and construction documentation for our ongoing development projects. The ideal candidate will ensure all project documentation is accurate, up-to-date, and easily accessible to the project team and stakeholders.
Key Responsibilities
- Proven experience in document control, preferably within the construction or civil engineering sector.
- Oversee the entire lifecycle of documents, from creation and submission to storage and disposal. This includes creating and maintaining document filing and organization systems.
- Manage and control the flow of civil engineering documents, drawings, and records (both electronic and hard copy).
- Manage the secure storage of both electronic and physical documents, including data entry, scanning, and photocopying.
- Ensure that all documentation complies with company and project-specific standards and procedures.
- Maintain document logs, registers, and filing systems for technical drawings, specifications, and correspondence.
- Coordinate with engineers, contractors, and project managers to ensure timely submission and receipt of documents.
- Facilitate document access for employees by logging requests and retrieving files as needed. Assist during external audits by providing necessary documentation.
- Distribute documents to the correct internal and external parties, such as project teams, clients, and vendors, and confirm receipt.
- Review documents for completeness and accuracy before distribution.
- Track document revisions, approvals, and issue status to ensure proper version control.
- Create document templates and prepare information for distribution.
- Liaise with team members to ensure documents meet requirements.
- Manage backups and handle archiving tasks.
- Support the project team with document retrieval and reporting as required.
- Maintain confidentiality and security of project information.
Qualifications
- Diploma or Bachelor’s degree in Civil Engineering, Construction Management, or a related field.
- Minimum of 3–5 years of experience as a Document Controller in the civil/construction industry.
- Proficient in document control software (e.g., Aconex, EDMS, SharePoint, Primavera, or equivalent).
- Strong organizational skills and attention to detail.
- Excellent communication and coordination skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with ISO standards and project document control procedures.
