Job Purpose

Support the Sales and Marketing team by preparing quotations, tracking performance, coordinating exhibitions and marketing materials, managing customer follow-ups, and ensuring smooth communication between departments. This role ensures efficiency, consistency, and customer satisfaction.

Key Responsibilities:

Sales Support & Coordination

  • Prepare professional quotations as requested by the sales team.
  • Track quotation status (won/lost/pending) and update records daily.
  • Collect and summarize feedback on lost deals.
  • Maintain an organized client, quotation, and project database.
  • Handle supplier/vendor registrations (upload profiles, certificates, CR, VAT, ISO, etc.).
  • Coordinate with internal teams (production, logistics, finance) for timely order delivery.
  • Prepare weekly and monthly sales performance reports.

Customer Follow-up & Service

  • Contact customers after delivery for satisfaction feedback.
  • Record and summarize feedback in “Customer Experience” reports.
  • Follow up with inactive clients to identify new opportunities.
  • Handle initial customer inquiries and direct them to the right team.

Exhibitions & Marketing Coordination

  • Plan and organize company participation in exhibitions (booth setup, materials, samples, giveaways).
  • Ensure marketing materials (catalogs, brochures, profiles) are up to date and available.
  • Coordinate with design and printing suppliers when needed.
  • Manage inventory of promotional materials and reorder as needed.
  • Support marketing activities (social media uploads, website updates, etc.).

Reporting & Analysis

  • Generate weekly and monthly sales reports (quotations, conversion rates, lost reasons, feedback).
  • Maintain a central dashboard for sales KPIs and team performance.
  • Prepare summaries and presentations for management meetings.
  • Analyze customer data to identify trends and suggest improvements.

Administrative & Documentation

  • Organize and archive quotations, contracts, and client documents.
  • Maintain and update the master price list and quotation templates.
  • Ensure company certificates and documents are valid and renewed on time.
  • Assist in scheduling meetings, preparing agendas, and taking minutes when required.
