Role Overview
We are seeking a proactive Sales Administrator to be the first point of contact for potential clients. This role is critical in managing incoming leads, initiating professional conversations, and qualifying prospects to ensure they are well-prepared for engagement with the senior sales and project team. The Sales Administrator will bridge the gap between initial interest and confirmed meetings, laying the foundation for successful client relationships.
Key Responsibilities
- Manage and respond to all incoming leads from various channels (website, social media, referrals, calls, etc.).
- Initiate timely conversations with prospects to understand their design and build requirements.
- Qualify leads by gathering essential project information (scope, budget, timelines, expectations).
- Nurture leads through follow-up emails, calls, and CRM tools until they are ready for a concrete meeting.
- Coordinate and schedule meetings between qualified clients and senior sales/design team members.
- Maintain and update client information and lead progress in the CRM system.
- Prepare and share initial sales materials, brochures, or presentations to prospective clients.
- Collaborate closely with marketing to ensure lead quality and feedback loops.
- Support the sales team in preparing for meetings by providing detailed background notes on client requirements.
- Track and report weekly lead conversion metrics and pipeline progress.
Requirements
- Bachelor’s degree in Business Administration, Marketing, or related field.
- Minimum 2 years’ experience in sales coordination, sales administration, or client-facing roles (preferably in design, construction, or real estate).
- Excellent communication and interpersonal skills with a professional client-first attitude.
- Strong organizational skills with the ability to manage multiple leads and priorities simultaneously.
- Tech-savvy with experience in CRM tools, MS Office/Google Suite, and online communication platforms.
- Self-motivated, proactive, and able to work independently while being a team player.
