Reservation Agent

MAIN RESPONSIBILITIES:

  • Telephone should be answered as per the hotel standard.
  • Ensure all reservations are entered correctly in the computer.
  • To check next days arrival list and put traces wherever required.
  • To make sure system is updated with correct rates.
  • Make sure that the VIP lists are prepared daily.
  • Concierge / Front Desk to be informed of same day.
  • Confirmations on reservations are responded to within the agreed time limits.
  • Reservation makers are entered accurately to monitor productivity.
  • To monitor room position for later dates and to communicate the Sold-Out and On-Request dates to the FOM.
  • Ensure all group reservations are entered correctly with details of Voucher, rooming list, meal plan, arrival and departure details.
  • To keep relevant departments informed of group requirements.
  • To check group requirements prior to arrival.
  • To assist whenever needed, on group check-ins.
  • To action all incoming correspondence and to be filed in a correct manner.
  • To be familiar with hotel credit policy and implement according to standards laid down.
  • To attend departmental Training classes regularly and also keep sharing the same information with the staff.
  • To strive to anticipate client needs whenever possible to enhance quality service and in turn enhance client satisfaction.
  • To assist department manager in maintaining effective communication.
  • To comply with all Hotel Policies and Procedures.
