Job Summary:
The Receptionist will serve as the first point of contact for clients, candidates, drivers, and visitors, embodying the professionalism and hospitality that B R G Limousine L.L.C is known for. This role involves managing front desk operations, performing office administration tasks, and ensuring accurate documentation. The ideal candidate will possess strong communication skills, a proactive attitude, and the ability to thrive in a fast-paced environment.
Key Responsibilities:
– Client and Visitor Interaction: Greet and welcome clients, candidates, drivers, and visitors with a professional demeanor, ensuring a positive first impression and a seamless experience.
– Communication Management: Answer and direct incoming phone calls, emails, what’s app and inquiries efficiently, providing accurate information about our services and addressing any concerns.
– Driver Communication: Maintain regular communication with drivers to coordinate schedules, address inquiries, and provide support as needed.
– Weekly Cash Collection: Oversee the weekly cash collection from drivers, ensure accurate recording and reporting of all transactions.
– Appointment Coordination: Schedule and coordinate appointments, meetings, and transportation services, ensuring timely and effective communication with all stakeholders.
– Office Administration: Perform general office administration tasks, including filing, data entry, and maintaining organized documentation (Physically and SharePoint).
– Financial Documentation: Assist in preparing and processing invoices, receipts, and other financial documents, ensuring accuracy and compliance with company policies.
– Database Management: Maintain and update client and driver databases and records with precision, ensuring confidentiality and data integrity.
– Operational Support: Collaborate with team members to facilitate smooth operations and enhance service delivery.
– Mail Management: Handle incoming and outgoing mail and packages, ensuring timely distribution.
– Marketing Assistance: Support marketing and promotional activities as required, contributing to the company’s visibility and outreach.
– Administrative Support: Assist management with various administrative tasks and special projects as needed.
Qualifications:
– Education: High school diploma or equivalent; additional certification in office administration or a related field is preferred.
– Experience: Proven experience as a receptionist or in a similar administrative role, preferably within the service industry.
– Communication Skills: Excellent verbal and written communication skills in English; proficiency in Arabic is a significant advantage.
– Technical Proficiency: Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
– Organizational Skills: Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
– Customer Service Orientation: Strong commitment to providing outstanding customer service and maintaining a professional demeanor at all times.
– Flexibility: Willingness to work various shifts, including evenings and weekends, as required by business needs.
