Roles and Responsibilities:
Front Office Management:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Maintain the reception area, ensuring it is tidy and presentable at all times.
- Handle incoming and outgoing correspondence, including emails, couriers, and mail.
Administrative Support:
- Assist in preparing documents, reports, and presentations as required.
- Maintain and update company databases, records, and filing systems.
- Schedule and coordinate meetings, appointments, and conference room bookings.
- Support HR and administrative functions such as attendance tracking, leave records, and document filing.
- Handle procurement of office supplies and ensure stock levels are maintained.
Coordination and Communication:
- Liaise with internal departments and external contacts for administrative matters.
- Coordinate with vendors, maintenance staff, and service providers for office-related requirements.
- Assist management with day-to-day administrative tasks and special projects.
Visitor and Employee Assistance:
- Provide information and assistance to visitors, clients, and employees as needed.
- Handle basic inquiries and direct them to the appropriate department or personnel.
- Support new employee onboarding by preparing access cards, workspace, and basic orientation.
General Office Management:
- Ensure proper maintenance of office equipment like printers, photocopiers, and telephones.
- Manage petty cash and expense reimbursement processes when required.
- Adhere to company policies, confidentiality, and safety standards.
