Receptionist

About the Role

The Receptionist plays a vital role in shaping the experience of families and visitors. As the welcoming face of the school, you will be a key member of the Admissions and Parent Experience Team, ensuring exceptional service from first contact through enrolment and beyond.

Key Accountabilities

Front of House Excellence

  • Act as the first point of contact for parents, visitors, and staff, ensuring a warm, professional welcome.
  • Manage visitor sign-in procedures in line with school protocols.
  • Handle incoming calls efficiently, directing enquiries accurately and courteously.
  • Confidently respond to frequently asked questions as the school’s frontline representative.

Admissions and Tour Coordination

  • Support the scheduling and coordination of school tours and open days.
  • Assist with admissions processes, including document collection and follow-ups.
  • Maintain accurate CRM records to support admissions decision-making.

Customer Experience and Engagement

  • Maintain up-to-date knowledge of the school calendar, events, and activities.
  • Communicate effectively with new and prospective parents, escalating queries where required.
  • Ensure the reception area is welcoming, organised, and well-stocked at all times.

Administrative Support

  • Manage the absence mailbox, recording absences accurately on iSAMS and liaising with teachers as required.
  • Provide administrative support to other departments as requested.
  • Monitor and manage office supplies and inventory.

The Ideal Candidate

  • Bachelor’s degree.
  • Experience using CRM systems and administrative platforms.
  • Previous experience in a receptionist, front-of-house, or customer service role (school experience preferred).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and remain calm in a fast-paced environment.
  • Proactive, detail-oriented, and able to work both independently and collaboratively.
  • High levels of professionalism, confidentiality, and discretion.
  • Strong alignment with Horizon’s values and community ethos.
