Key Responsibilities

→ Front Desk & Guest Management

✓ Greet and welcome clients/guests and direct them to the concerned department

✓ Manage incoming calls, emails, and general enquiries

✓ Maintain a professional and friendly front-desk environment

→ Administration & Coordination

✓ Handle daily admin tasks: emails, filing, photocopying, printing, and correspondence

✓ Sort, receive, and distribute daily mail/deliveries

✓ Maintain office cleanliness, decorum, and meeting room readiness

✓ Support operations team with documentation and admin follow-ups

→ FM & Operations Support

✓ Coordinate daily enquiries and tasks for TM/FM, AMC, and vendor-related works

✓ Ensure PPM schedules and reactive tasks are updated and completed in CAFM

✓ Assist with ADHOC work coordination including material requests, quotation follow-ups, and approvals

✓ Prepare Work Completion Reports for Adhoc and Reserve Fund jobs

✓ Handle Cash Advance preparation for Adhoc works and follow through until vendor payments

→ Communication & Vendor Liaison

✓ Communicate with building security and update concerned community managers on building-related matters

✓ Coordinate with vendors for invoices, submissions, and operational support

✓ Sort vendor invoices for accounts and maintain accurate records

→ Helpdesk & After-Hours Support

✓ Manage Helpdesk Hotline (24×7) on a rotation or as required

✓ Log requests, escalate urgent issues, and ensure proper closure
