Job Purpose
The Receptionist is responsible for providing a professional and welcoming first point of contact for all visitors and callers, ensuring efficient communication, administrative support, and smooth front-office operations. The role supports day-to-day office activities by managing inquiries, coordinating appointments, and maintaining a well-organized reception area, contributing to a positive and professional workplace environment.
Job Responsibilities
- Attending all incoming calls and transferring them to the respective extensions
- Attending visitors and directing them to respective departments
- Keeping a record of all personal international calls
- Receiving of all company incoming letters, faxes, parcels, stamping, registering them in the incoming mail register and forwarding them to General Manager and later to the respective departments
- Maintaining records for all incoming and outgoing correspondence (both hard and soft copies) and Filing them (letters, faxes) in the respective files as per the serial number
- Co ordination with store keepers to send parcels/goods received at the office
- Distribution of duties to Company Driver(s) for proper delivery/collection of letters/parcels etc..
- Comply and implement the OHS & EMS policies
- Follow all HSE instructions, setting an example to others
- Stop any unsafe work/act and report to the HSE department
- Report immediately to the HSE if any Safety/Environmental concern is noticed in and around your working area
Others
- Any other additional tasks the line manager may give and is within the scope of work
Job Requirements
- Diploma with experience in Telephone Etiquettes & knowledge of secretarial Duties
- 2 to 3 Years Experience
