Role Overview
We are looking for a reliable, highly organized Assistant to manage day-to-day administrative operations, customer coordination, shop coordination, permits, and logistics. The role is hands-on and requires someone who can multitask, follow up strictly, and ensure all orders and deadlines are executed smoothly.
Responsibilities:
- Manage day-to-day administrative work
- Work in close coordination with management for updates, approvals, and priorities
- Coordinate with customers, shop staff, florists, and drivers
- Handle orders end-to-end (confirmation, preparation, dispatch, delivery)
- Ensure all orders, events, and deliveries meet deadlines
- Manage logistics, routing, and delivery schedules
- Issue, track, and follow up on permits (mall, events, shop management)
- Maintain order records, trackers, and documentation
- Monitor inventory requirements and flag shortages in advance
- Coordinate with vendors and external service providers when needed
- Handle WhatsApp, calls, and emails professionally
- Track delivery confirmations and resolve issues immediately
- Maintain confidentiality and brand standards at all times
