Role Summary

The Office Girl / Secretary will provide essential administrative and hospitality support to ensure smooth daily operations at MENA Capital. This role requires a well-organized, presentable, and dependable individual who can assist with clerical duties, maintain office cleanliness, and support the team in creating an efficient and welcoming work environment.

Key Duties & Responsibilities

1. Front Desk & Visitor Support

  • Greet visitors in a professional and friendly manner.
  • Assist reception with directing guests, offering refreshments, and ensuring meeting rooms are prepared.
  • Help manage incoming calls when required.

2. Administrative & Clerical Support

  • Perform basic administrative tasks such as printing, scanning, photocopying, and filing documents.
  • Assist staff with organizing paperwork, preparing simple documents, and arranging office materials.
  • Handle internal mail distribution and outgoing courier shipments.

3. Office Maintenance & Hospitality

  • Prepare and serve tea/coffee or refreshments for guests, meetings, and staff as required.
  • Maintain high standards of cleanliness in meeting rooms, pantry, reception area, and common spaces.
  • Ensure all areas are tidy before and after meetings.

4. Inventory & Supplies Management

  • Monitor pantry stock, stationery, and office consumables.
  • Inform the Admin Manager when items need replenishment.
  • Assist in managing office storage, organizing supplies, and keeping track of usage.

5. Coordination & Reporting

  • Report any maintenance, cleaning, or facility issues promptly.
  • Coordinate with building management or vendors when instructed.
  • Support the administration team with any additional tasks needed for smooth office operations.

Requirements

  • Female candidate preferred (due to operational requirements).
  • Presentable, polite, and professional demeanor.
  • Basic English communication skills; additional languages are an advantage.
  • Strong sense of responsibility, punctuality, and reliability.
  • Ability to multitask and work efficiently in a fast-paced office environment.
  • Prior experience in office support, hospitality, or administration is preferred.
