Office Coordinator

Full job description

We are looking for an Office Coordinator to support the daily operations of our vinyl wrapping department. This is an entry-level position, ideal for someone who is organized, proactive, and eager to grow within a fast-paced company. Visit visa candidates are welcome.

Key Responsibilities

Project & Team Coordination

  • Assist with scheduling vinyl wrapping projects.
  • Help allocate teams and vehicles for site visits.
  • Stay in touch with technicians to confirm site details and timelines.

Quotations & Permits

  • Prepare basic estimates and quotations under supervision.
  • Support in processing permits and paperwork needed for projects.

Materials & Inventory

  • Check stock of vinyl films, tools, and consumables.
  • Help prepare and dispatch materials before projects.
  • Keep logs updated for material usage and report when items are running low.

Site & Quality Support

  • Ensure necessary materials and documents are ready before technicians go to site.
  • Coordinate with supervisors and inspectors as needed for smooth delivery.

Reporting & Updates

  • Maintain simple records of project schedules and stock movement.
  • Submit daily updates on operations, material consumption, and project status.

Qualifications & Skills

  • Fresh graduate or 1–2 years of experience in coordination/office support (construction, interiors, or vinyl wrapping experience is a plus).
  • Organized with good time management skills.
  • Proficient in MS Office or Google Workspace.
  • Basic understanding of permits/site compliance in UAE (training will be provided).
  • Strong communication skills in English; knowledge of Arabic/Hindi is an advantage.
  • Valid UAE driving license preferred but not mandatory.
