HR & Admin Officer

Full job description

The HR & Admin Officer will be responsible for supporting human resources operations and ensuring smooth day-to-day administrative functions of the office. The role requires strong organizational skills, attention to detail, and the ability to handle confidential information professionally.

Key Responsibilities

Human Resources Duties

  • Maintain employee records, personnel files, and HR databases
  • Assist with recruitment activities (job postings, shortlisting, interview coordination)
  • Support onboarding and offboarding processes
  • Prepare HR letters (offer letters, contracts, confirmations, leave letters, etc.)
  • Monitor employee attendance, leave records, and timesheets
  • Support payroll coordination and benefits administration
  • Ensure HR policies and procedures are followed

Administrative Duties

  • Manage office supplies, assets, and vendor coordination
  • Handle incoming calls, emails, and correspondence
  • Maintain filing systems (physical and digital)
  • Support management with reports and documentation
  • Ensure smooth day-to-day office operations

Requirements & Qualifications

  • Bachelor’s degree or diploma in Human Resources, Business Administration, or related field
  • 1–3 years of experience in HR and/or administrative roles (preferred)
  • Knowledge of basic HR practices and labor regulations
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal skills
  • Proficiency in MS Office (Word, Excel, Outlook)
  • Ability to maintain confidentiality and work independently

Visa / Work Status

  • Spouse visa holders preferred
