Key Responsibilities

  • Ensure smooth daily operations of office and administrative functions, including equipment maintenance and supply management.
  • File all project documents, maintain safe custody of company records, and manage vendor registration documentation.
  • Create and monitor job schedules & ensure proper closure of job files with relevant reports and records.
  • Assist in preparing and compiling time sheets and leave schedules for operational teams.
  • Handle incoming/outgoing calls, shipping, and receiving; support general meeting arrangements and follow-ups.
  • Arrange travel documents CDCs, offshore certificates, and OK-to-board approvals for offshore deployments.
  • Coordinate gate passes for technicians and equipment’s deploy mobile connections, laptops, and vehicles as needed.
  • Facilitate staff travel arrangements, maintain accommodation inmate lists, and ensure availability of office supplies.

Qualifications & Skills

  • Education: Diploma or Bachelor’s in Engineering, Business Administration, or Maritime Studies.
  • Experience: 3–5 years in coordination roles within Oil & Gas, Marine, or Industrial sectors.
  • Technical Skills:
  • MS Office (Excel, Word, Outlook)
  • ERP or logistics software (preferred)
