Job Responsibilities:
- Greet and welcome clients as soon as they arrive and connect them with the appropriate department/party.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms, and brochures).
- Provide basic and accurate information in person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook etc.)
- Order front office supplies and keep an inventory of stock.

- Maintain logs of internal and outward correspondence.
- Printing, scanning and filing of official documents. Maintain and update records of complete filing system in place in office.

- Perform other clerical receptionist duties such as photocopying, transcribing, filing, keeping records of office expenses, sorting and distributing paperwork, and so on.
- Interact with their colleagues to resolve important administrative matters and the like.
Requirement:
- Education or Experience: An associate or bachelor’s degree and have experience as a receptionist, front office representative, or in a similar role.
- Practical Skills: Hands-on experience with office equipment such as printers, laptops, phones. A receptionist should also be proficient in relevant software such as Microsoft Office Suite (Word, Excel, Outlook, etc.)
- Soft Skills: Soft skills such as management and time management skills, organizational skills, communication skills, multitasking skills and customer service skills.
- Professional Dress: Professional dress that looks neat and tidy.
