Key Responsibilities:
Customer Service:
- Greet and welcome visitors, clients, and staff in a friendly and professional manner.
- Direct visitors to the appropriate person or department.
- Answer and route incoming calls and emails promptly and accurately.
- Administrative Duties:
- Maintain and manage the front desk area to ensure a professional appearance.
- Manage appointment schedules, booking, and cancellations.
- Handle incoming and outgoing mail and courier services.
- Maintain office supplies and ensure availability.
- Record Keeping:
- Manage visitor logs and issue visitor badges as required.
- Maintain records of inquiries, complaints, or service requests.
- Coordination:
- Assist in coordinating meetings, preparing meeting rooms, and arranging refreshments.
- Communicate messages and information efficiently between departments.
- Problem Solving:
- Address visitor inquiries and resolve minor issues proactively.
- Escalate complex matters to the appropriate personnel.
Qualifications:
- High school diploma or equivalent (some roles may require a degree).
- Proven experience in a similar role is an advantage.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills (verbal and written).
